JOB ROLE: Administrative Professional

JOB OVERVIEW:

The Administrative Professional serves as the office receptionist and is responsible for responding to inquiries and acquiring information for the general public, customers, guests, and other interested parties, in addition to providing available administrative assistance. Administrative Professionals are moderately supervised by a Senior Administrative Professional, Supervisor, or Manager who verifies their work. Additional responsibilities may include, but are not limited to:

Essential Job Function/Responsibilities

  • Act as the office receptionist; screen and direct incoming calls; accept and convey messages, and respond to inquiries from the public and customers.
  • Greets and directs office guests; monitors visitor access and maintains security awareness Opens office, prepares and maintains coffee.
  • Maintains a clean and professional reception area, common area, and a hazard-free workplace—communal areas, such as break rooms, kitchens, etc.
  • Daily office duties include receiving and sorting mail and deliveries, coordinating meetings, and planning lunches and catering.
  • Provide administrative and clerical assistance; produces communication and paperwork.
  • Prepares and arranges meeting rooms before and after meetings.
  • Maintains an electronic master regional office vacation schedule and assures awareness of personnel moves into and out of the organization.
  • Assists in monitoring RESPEC email employment inquiries and forwarding resumes to the relevant persons.
  • Close office by turning off phones, copier, coffee machines & locking doors.

Weekly

  • Prepare recyclables for collection.
  • Manages inventories and purchases supplies for the office, conference room, and kitchen.
  • Ensure that PCs in the conference room are updated regularly.

As Needed

  • Maintain Office and Field Equipment through a Log of Shipment and Tracking
  • Performs office errands and/or delivers packages
  • General document filing and archiving
  • Assist in the coordination of travel for employees.
  • Entry of Employee Training and Certification Information
  • Improve the incoming/outgoing employee phone system
  • Membership dues, publications, seminar fees, etc.
  • Protect the value of the organization by keeping information secret
  • Assist Senior Vice President with event coordination, communication, and/or research
  • Consult with Culture Champions for organizing office events
  • Back up Assist with Office Quarterly Safety Audit
  • Performs additional related responsibilities as assigned and necessary

Skills/Abilities

  • Proficiently completing specialized documents that range from simple memoranda to complex spreadsheet
  • Proficient knowledge of customer service principles and practices
  • Demonstrate excellent grammatical and proofreading skills to ensure that documents are consistent
  • Prioritizing tasks and planning time according to workload Identifying subsequent tasks (such as event planning, equipment tracking, and workstation set-up) to complete projects by the deadline
  • Coordinating Office services and related activities; office event planning.
  • Assist Senior VP, HR Generalist, or Account Manager on special Project

Skills/Abilities

  • Completing specialized papers with proficiency, ranging from primary memos to sophisticated spreadsheets
  • Knowledgeable of customer service fundamentals and methods
  • Demonstrate excellent grammar and proofreading abilities to maintain the consistency of papers.
  • Task prioritization and time management according to workload Identifying future activities (such as event planning, equipment tracking, and workstation setup) to meet deadlines for project completion.
  • Coordination of Office services and associated activities; organization of office events.
  • Assist the Senior Vice President, HR Generalist, or Account Manager with a Special Project.

Qualifications

  • An associate degree in business or office administration and 3-6 years of related experience OR  4-8 years of related experience

Work Schedule

This is a regular full-time position with benefits. The employee will work 40 hours/week (Monday – Friday) from 8:00 AM – 5:00 PM.
